The Sanctuary Policies
1) STUDIO & GENERAL FACILITY POLICIES
Class Booking, Class Cards, & Day Passes
Registrations: Registrations for class are required, and your class registration reserves your spot in class. Walk-ins without registration accept the risk of being turned away. Please cancel with as much notice as possible if you are not going to make it.
Late Arrivals: Please arrive at least 5 minutes early. For your safety and to maintain the container of practice, late arrivals are not permitted once class begins.
Class Cards & Day Passes:
5-class cards and day passes expire 90 days from purchase
10-class cards and day passes expire 180 days from purchase
Cancellations & Refunds
Cancellation Window: You may cancel or reschedule a class up to 2 hours prior to class time without penalty. Workshops, retreats, and special events require 24 hours’ notice. Eligible cancellations will automatically be issued a credit unless refund is requested via email. Late cancellations or no-shows will result in forfeited credit.
How to Cancel: Cancellations must be managed online. Cancellation or change requests received via email/text/social media/phone call are not accepted as these channels are not monitored 24/7.
Credits, Refunds & Transactions
Credits & Refunds will only be issued for eligible cancellations within the posted timeframes. Please email info@thesanctuarynorthfield.com to request a refund as our system is only able to issue a credit for eligible cancellations.
All other sales, including retail and events, are final.
We are unable to honor retroactive discounts or promotional pricing offered after a purchase has been completed.
Winter Weather Policy: If the studio remains open, our regular cancellation policy will be in effect. If you’re unsure about traveling safely, please cancel your reservation through Union at least two hours in advance, or cancel and re-register to attend virtually if that option is available.
Technology & Environment
The studio is a tech-free zone. Please silence and store phones during class, except in emergencies.
Natural Scents Only: We use plant-based incense, palo santo, and sage. Please avoid synthetic perfumes or strong scents.
Consent to Hands-On Adjustments: All clients have the right to consensual and trauma-informed touch. Every class offers the option to provide opt-in consent for adjustments using our consent cards.
No Outdoor Shoes, Please!
We are an outdoor shoe-free zone. Please remove shoes upon entering.
Feel free to bring your own slippers or indoor-only shoes or borrow a pair for the day!
Please help us maintain a clean, serene environment by removing outdoor footwear upon entry.
Lost & Found: The Sanctuary is not responsible for lost items. Unclaimed items will be donated or disposed of seasonally.
Minors: Participants under 18 must be accompanied by an adult at all times unless enrolled in youth-specific programming.
Smoking & Substances: The Sanctuary is a smoke-free and substance-free facility.
Health, Safety, & Emergencies
Illness: Please stay home if you’re feeling unwell, especially with symptoms of fever, cough, or contagious illness.
Emergencies
Fire exits and first aid kits are clearly marked.
In an emergency, call 911 and notify staff immediately.
Photography, Privacy, & Recordings
Personal photos are allowed in shared spaces outside of class times, with consent from anyone captured.
Personal photography or video during classes is not permitted without instructor and participant consent.
Respect the confidentiality and privacy of others.
2) CO-WORKING/LOUNGE SPACE POLICIES
Hours & Access
Please check out our scheduling platform for the most up-to-date information on co-working hours.
Entry is permitted only to authorized users. Do not share your access credentials.
Quiet Environment
Be mindful of noise levels in shared spaces. This helps maintain a calm environment for clients receiving services and for fellow members who value quiet focus time.
Please use headphones for media and please book “The Studio Office” if you need to take phone or video calls or take them outdoors.
Studio Sounds & Schedule
The exception to our quiet policy? Our bass-pumping movement classes! Some sessions include energizing music.
Check the studio schedule in advance if you are sensitive to sound - or feel free to join in for a fun and uplifting time!
Seating & Cleanliness
Seating first come, first served unless otherwise reserved.
Clean your space before leaving. Shared items (kitchen tools, office supplies, etc.) must be cleaned and returned if used.
Internet & Security
Wi-Fi access is for members and guests only. Please use responsibly - no illegal downloads or activities.
Report any tech issues or suspicious activity to staff.
3) CODE OF CONDUCT & COMMUNITY STANDARDS
Respect & Inclusion
We are committed to a safe, respectful, and inclusive environment for all. Discrimination or harassment of any kind will not be tolerated.
This includes but is not limited to: race, gender, age, disability, religion, national origin, or sexual orientation.
Harassment & Sexual Misconduct
Harassment is defined as any unwelcome verbal, visual, or physical behavior that creates a hostile or offensive environment.
Sexual harassment includes, but is not limited to:
Unwanted sexual advances or contact
Sexual jokes, gestures, or comments
Display of explicit materials
Retaliation for rejecting advances
Anyone engaging in such behavior will be subject to disciplinary action, up to and including termination of access or membership.
Complaint Procedure
If you experience or witness harassment or discrimination, report it confidentially to:
